ROLE
The Administrative Assistant – Health & Safety & Travel supports the coordination and execution of Health & Safety (H&S) programs and corporate travel operations. This role ensures compliance with internal policies and local regulations, while delivering an efficient and seamless travel experience for employees across multiple locations.
WHAT YOU'LL DO
- Support the implementation and monitoring of Health & Safety policies, including documentation (risk assessments, audits, training, and incident logs) and compliance tracking
- Coordinate occupational health processes, including scheduling medical appointments, managing employee communications, and maintaining accurate records in internal systems
- Manage administrative processes related to work accidents, ensuring proper documentation, follow-up, and timely internal and legal reporting
- Support end-to-end travel coordination (flights, accommodation, transport, visas), ensuring alignment with company policies and cost control guidelines
- Act as a key point of contact for employees, vendors, and external providers (travel agencies, health providers), ensuring efficient communication and issue resolution
- Maintain accurate records and reporting (H&S and travel), while continuously identifying and implementing process improvements to enhance efficiency and stakeholder satisfaction
WHO YOU ARE
- Previous experience in administrative, travel coordination, or Health & Safety support roles
- Strong organizational and multitasking skills
- Excellent attention to detail and accuracy
- Fluency in English (written and spoken) is required
- Good communication and stakeholder management skills
- Ability to handle sensitive information with confidentiality
- Proficiency in Microsoft Office / Google Workspace
