We are looking for an Office Assistant to report directly to the Senior Office Management Specialist, you will manage our office and handle all the issues that may appear related to this area. The Office Assistant supports the day-to-day operations of the office, ensuring a smooth, efficient, and well-organized workplace. This role is critical in maintaining a positive employee experience, supporting administrative processes, and coordinating with vendors and internal stakeholders.
WHAT YOU'LL DO
- Ensure the office is fully operational, clean, organized, and well-maintained at all times
- Monitor and replenish office supplies, pantry items, and consumables
- Support meeting room setup, including AV equipment and hospitality
- Assist with office opening/closing procedures when required
- Provide general administrative support to the team and leadership
- Manage incoming and outgoing mail, deliveries, and couriers
- Maintain accurate records and documentation (invoices, contracts, etc.)
- Support onboarding logistics for new joiners (desk setup, welcome kits, access coordination)
- Liaise with vendors (cleaning, maintenance, security, catering, etc.)
- Track service delivery and escalate issues when necessary
- Support invoice tracking and ensure timely submission to Finance
- Assist in maintaining vendor lists and service contracts
- Report and follow up on maintenance issues (HVAC, lighting, plumbing, etc.)
- Coordinate with Facilities or landlords when required
- Support minor office projects, moves, or reconfigurations
- Support internal events (celebrations, team activities, wellness initiatives)
- Ensure a welcoming and positive office environment
- Act as a point of contact for employee queries related to office services
- Support compliance with Health & Safety guidelines
- Assist in maintaining emergency procedures and office readiness
- Participate in drills and ensure safety equipment is accessible and up to date

WHO YOU ARE
- Previous experience in an administrative or office support role preferred
Strong organizational and multitasking skills
Good communication and interpersonal skills
Fluency in English (written and spoken) is required
Proactive mindset with attention to detail
Ability to work independently and manage priorities
Basic knowledge of Microsoft Office / Google Workspace
