ROLE
Reporting to the Payroll Lead and working closely with the People Business Partner, you will take ownership of the end-to-end monthly payroll operations. As a Payroll Specialist, you will serve as a primary system expert for Workday and SAP, driving data integrity, handling complex reconciliations, and optimizing processes continuously, while serving as the main point of contact for complex payroll queries and standard HR policies.
WHAT YOU'LL DO
- End-to-End Payroll Execution: Execute full-cycle, in-house monthly payroll processing (including absences, allowances, and overtime), ensuring absolute accuracy and strict adherence to internal policies and external deadlines
- System Expertise (Workday & SAP): Act as the primary system expert, managing seamless data synchronization, auditing, and troubleshooting between Workday and SAP Payroll. Lead user acceptance testing (UAT) for system updates, enhancements, and integrations
- Process Improvement & Automation: Proactively analyze payroll data and workflows to identify bottlenecks. Design, advocate for, and implement automated solutions to reduce manual intervention, mitigate risk, and scale operations efficiently
- Portuguese Compliance & Reporting: Ensure full compliance with Portuguese labor laws, collective agreements (ACTs), and tax regulations. Manage all statutory declarations, including Social Security, Tax Authority (IRS), garnishments (penhoras), and annual reporting (Relatório Único)
- Audit & Analytics: Conduct regular payroll data audits, reconcile payroll general ledger (GL) accounts, and investigate complex discrepancies to guarantee 100% data accuracy
- Stakeholder Support: Monitor and manage queries in the centralized People Team mailbox. Provide expert-level support for complex inquiries and guide managers on standard policies (e.g., holidays, parental leave)
- Cross-functional Collaboration: Support general People Team projects, ensuring payroll setup meets legal and fiscal requirements and providing administrative support for personnel files
WHO YOU ARE
- Education: A professional with a Bachelor's degree (Licenciatura) in Human Resources, Business Administration, Finance, or a related field
- Experience: 4+ years of proven, hands-on experience in end-to-end payroll processing specifically within Portugal, ideally in a mid-to-large multinational corporate environment
- System Proficiency: Demonstrated, advanced technical knowledge of both Workday (HCM/Payroll) and SAP Payroll is mandatory;
- Analytical Mindset: Advanced MS Office skills (particularly Excel) with a strong aptitude for complex data analysis, financial reconciliations, and custom reporting
- Technical Knowledge: Deep understanding of Portuguese payroll taxes (IRS), social security deductions, benefits, and year-end compliance standards
- Soft Skills: Excellent communication skills to explain complex payroll/system concepts to global stakeholders, paired with exceptional attention to detail, confidentiality, and stress management
- Language Skills: Full professional fluency in English (written and spoken)
